Dear Councillors,
You are hereby summoned to attend an Extraordinary Parish Council meeting of Mareham le Fen Parish Council which will be held on WEDNESDAY 24th June 2026 commencing at 7.15pm at Mareham le Fen Community Centre with a public participation period starting at 7.00pm for up to 15 minutes immediately followed by the Parish Council meeting. Parish Council business must be conducted in public (except for items deemed to be confidential and not in the public interest) but it is not a public meeting. Items to be discussed are shown in the agenda.
If you cannot attend the meeting, please send your apologies to the Clerk with reasons.
PRESS AND PUBLIC WELCOME. There will be a public participation period at this meeting starting at 7.00pm. Parishioners may ask questions or raise issues of local interest with the parish council for up to 15 minutes. The chair of the meeting may limit the amount of time that each person may speak. The formal Council business will commence at the end of the public participation period. Members of the public may not speak during the Parish Council meeting unless the Chair of the meeting allows this.

AGENDA

2. Apologies for absence with reason given
3. Declaration of Members’ interests in accordance with the Localism Act 2011 and requests for dispensations. Councillors are reminded that they must complete a Register of Interests for themselves and any partner within 28 days of election/ co-option and also have a duty to amend their register within 28 days of a change in circumstances to be submitted to the Clerk. (Disclosure by all members present of disclosable pecuniary interests in matters on the agenda that have not already been declared on their Register of Interests form. Councillors may not take part or vote on items they have a pecuniary interest in unless granted a dispensation. Requests for a dispensation should be sent to The Clerk by email or at the start of the meeting).
4. To receive the draft minutes to be approved as the minutes of the meeting held on 20th May 2026.
5. Matters arising from the minutes of 20th May 2026 and Clerk’s updates not already on this agenda.
6. To consider the Annual Governance and Accounting Return 2025-26 for submission by 30th June 2026.
a) To receive, consider and approve cash book income and expenditure 2025-26 statements and asset register for publication.
b) To receive the Annual Internal Audit Report and approve publication (if available).
c) To receive, consider and approve the Annual Governance Statement 2025-26 and for the Chair and Clerk to sign.
d) To receive, consider and approve the bank reconciliation, variance analysis and the Annual Accounting Statement 2025-26 and if approved for the Chair to sign
e) To approve the dates of electors’ rights to be exercised Monday 29th June – Friday 7th August 2025.
f) To approve the Certificate of Exemption (if applicable) and publication of documents on the parish council’s website to meet obligations specified in the Transparency Code and Accounts and Audit Regulations 2015.
7. To consider the correspondence from LCC Highways regarding the signs to St Helen’s Church.
8. To approve any training sessions required.
9. To consider items for the next ordinary meeting on Wednesday 15th July 2026.
